RICHMOND: Our next item is P7, 6 Technology Deputy Director's report; P7.1, 7 CROS Project Updates and Actions. 8 MR. CAIETTI: Good afternoon, Honorable 9 Members. I'm Chris Caietti, Chief Technology 10 Officer and CROS Project Director from the 11 Technology Services Department. 12 Joining me today is Ms. Trista Gonzalez, 13 CROS Project Business Manager. And we appreciate 14 the opportunity to provide this month's brief update 15 on the CROS Project. 16 To start out, since we've last talked, the 17 FAST Enterprise vendor is quickly on board. 18 There's -- 26 of the staff have been on-boarded, and 19 then that's gonna constitute the Core FAST Team with 20 an additional 8 positions that come on board after 21 January to -- to support the increase of project 22 activities at that time. 23 One of the first things they did when they 24 got here was they did an assessment of the work 25 that's already been performed by BOE in getting 26 ready for this engagement. And I am pleased to 27 notify you that the preparation that BOE has done 28 over the last four years is far and beyond what FAST 3 1 has seen with any other client. 2 So this provides a solid basis for the 3 start of the project, and the BOE staff over the 4 last four years should be commended for their hard 5 work and exceptional value that their efforts have 6 provided. This is going to be a really good start 7 for this project. 8 Over the last 30 days we've met with 9 representatives from the Senate and Assembly Budget 10 Subcommittees to provide our quarterly project 11 updates. The next quarterly updates are scheduled 12 for March 2017. 13 The supplemental report of the fiscal year 14 2016/2017 budget package was submitted to the 15 Legislature as required on October 14th, 2016. 16 We are also responsible for submitting the 17 annual CROS Report that is due to this committee of 18 each house on December 1st, 2016, and that's 19 starting underway right now. 20 We provided responses to the Department of 21 Finance and Legislative Analyst Office questionnaire 22 on IT positions for large projects on October 7th, 23 2016, and the current high level schedule has been 24 distributed to the BOE management and staff. 25 A copy will be available on our internal 26 eBOE site, and the vendor will provide a final 27 schedule in mid December following more discussion 28 analysis to true up the details of the 4 1 implementation activities on staff resources. 2 Finally, field-office and headquarter 3 staffs have completed their review of the catalogue 4 of business rules. 5 And at this time, I'll turn it over to 6 Trista to give you an update of what's coming. 7 MS. GONZALEZ: Good afternoon, Members. 8 I'm Trista Gonzalez, the CROS Project Business 9 Manager. 10 In the next couple of months, in the 11 November to January time frame, the project is 12 planning on executing the following activities. 13 We will be holding system overviews and 14 general tax demonstrations for all BOE staff, both 15 in headquarters and in our field offices; we will 16 complete Special Projects Report, SPR No. 4; we will 17 initiate program and technical subject matter expert 18 readiness training for staff that will be assisting 19 us in the implementation of the project. 20 Communications will continue throughout the 21 organization using our Organizational Change 22 Management Team and CROS liaisons to help keep 23 everyone up to date on what's happening with the 24 project. 25 And we will continue our active 26 collaboration with the Department of Technology and 27 the Department of Finance to ensure alignment and to 28 keep them informed on project activities. 5 1 MR. CAIETTI: And our budget status overall 2 for the project, we're still trending under budget. 3 So for the current month we're at about 80 percent 4 with an actual spend of $699,000; year-to-date, 5 we're trending at 19 percent with an actual spent of 6 a little over $2 million; and project-to-date, we're 7 trending at 78 percent, about 36 million. 8 So we're continuing to trend and stay 9 under -- under budget for the overall project. 10 That concludes our report for the month, 11 and we're prepared to respond to any questions that 12 you may have. 13 MS. We get 17 reports, so thank you very much for your 18 communication efforts.
